Your information

Privacy policy

How we look after your family's and students' information.

Who we are

OT4You Occupational Therapy Services, New Zealand. We follow the Privacy Act 2020 and the Health Information Privacy Code 2020.

What we collect

Your account details (name, email) and booking requests.

Child information you choose to enter: initials and date of birth (never full names), sensory wheel ratings, strategies, journal entries, checklist answers and goals. This is health information and we treat it as sensitive.

Billing is handled by our payment provider, Stripe. We never see or store your full card number.

Why we use it

To provide the profiles, journal, sharing and AI tools you ask for, to reply to bookings, and to manage your membership. We do not sell your information or use it for advertising.

AI tools

When you tap an AI button, the information needed for that request (for example a child's initials, age, ratings and journal) is sent to an AI service to write a reply. It is not used to train AI models. AI replies are general guidance, not a diagnosis or clinical advice.

Who can see it

Only you. A profile is visible to others only if you turn on sharing, and only to people who have the link. You can make a new link at any time to stop the old one working.

OT4You staff with admin access see booking requests only.

How we protect it

Information is stored encrypted on secure servers, and each account can only reach its own records. Data may be stored outside New Zealand by our hosting provider, with comparable protections.

Keeping and deleting

You can download or delete any child's information from Journal & profiles, and delete your whole account below. Billing records are kept for 7 years as required by NZ tax law.

Your rights

You can ask to see or correct your information, or complain to us. If you're not happy with our response, you can contact the Office of the Privacy Commissioner (privacy.org.nz).
